8 to 12 Weeks Before Moving Day: Planning and Preparation

Start planning your move at least 2–3 months in advance. This is the phase for decisions, not action — deciding what goes, choosing your mover, and beginning the paperwork that has the longest processing times.

Decluttering and inventory

  • Go through every room and sort belongings into: Keep / Donate / Sell / Discard
  • Create a household inventory list organised by room — furniture, electronics, appliances, decor
  • Sell unwanted items online or arrange a sale to reduce volume and lower your shifting cost
  • Donate usable items to a charitable organisation or a school
  • Identify items you plan to carry personally (valuable documents, jewellery, sensitive electronics)

Choosing and booking your packers and movers

  • Research verified packers and movers in your area — check reviews, GST registration, and physical office
  • Get written quotes from at least 3 companies. Compare: scope of service, insurance, payment terms
  • Confirm that the quote includes: packing materials, loading, transport, unloading, and transit insurance
  • Check GST: the applicable rate on packers and movers services is 18% for full-service moves

4 to 6 Weeks Before Moving Day: Services, Utilities, and Packing Supplies

CHECKLIST — 4–6 WEEKS BEFORE SHIFTING

Utility disconnections and transfers

  • Inform electricity board of your shifting date — apply for disconnection or address transfer. New connection takes 3–7 working days — apply early
  • Inform your water supply authority if applicable
  • Initiate LPG gas connection transfer:
  1. Same city: visit current distributor with Subscription Voucher (SV); get e-CTA (Electronic Consumer Transfer Advice) valid for 3 months; take to new distributor
  2. Different city (Indane/HP Gas): surrender equipment + cylinder + regulator at current distributor; receive Termination Voucher (TV) valid 1 year; take TV to new city distributor for fresh SV and consumer number
  3. Can also initiate transfer online via MyLPG.in (mylpg.in) for Indane, Bharat Gas, and HP Gas
  • Inform broadband / internet provider: apply for disconnection or transfer to new address
  • Inform DTH / cable TV provider of new address
  • Inform piped gas provider if applicable

Financial and communication services

  • Update address with your primary bank accounts — update within 10 days of moving to avoid KYC issues, delayed cards, and blocked services
  • Update address with credit card providers
  • Inform insurance companies (health, life, vehicle) of new address
  • Notify your CA / tax consultant of new address for ITR and financial correspondence
  • Update PAN card address records via NSDL portal (onlineservices.nsdl.com) or UTI portal (utiitsl.com)
  • Inform vehicle insurance provider and update RC address at local RTO
  • Update address on Demat and investment accounts (mutual funds, stockbroker, NPS)

Monthly subscription cancellations

  • Cancel newspaper / magazine delivery subscriptions

  • Cancel any month-to-month services at the start of the month — mid-month cancellation may attract charges

Packing supplies

  • Order or collect: corrugated carton boxes of various sizes (small, medium, large)
  • Order: bubble wrap, EPE foam sheets, packing paper (unprinted newsprint), stretch film
  • Buy: heavy-duty packing tape (multiple rolls), scissors, permanent markers in multiple colours
  • Buy: coloured tape for colour-coded labelling system (one colour per room)
  • Buy: adhesive label stickers (FRAGILE, THIS SIDE UP, HEAVY)
  • Prepare a moving notebook or use a spreadsheet for your master inventory list

1 to 3 Weeks Before Moving Day: Packing and Final Confirmations

CHECKLIST — 1–3 WEEKS BEFORE SHIFTING

Packing rules to follow in every room

  • Pack room by room — complete one room before starting the next. Do not mix items from different rooms in the same box
  • Start with least-used items first: garage, storage, attic, off-season clothes, holiday decorations
  • Pack daily-use items last — set aside what you need until moving day
  • Pack heavy items at the bottom of each box; lighter items on top
  • Maximum recommended box weight: 20 kg. Keep within this limit to avoid injury and box failure
  • Fill all gaps in every box with crumpled paper, bubble wrap, or soft items to prevent shifting
  • Do not leave empty space in boxes — contents shift and break during transit
  • Seal every box with heavy-duty packing tape
  • Label every box: destination room + contents description + handling instruction (FRAGILE / HEAVY / THIS SIDE UP)
  • Label on the TOP and at least TWO SIDES of every box so labels are visible when stacked
  • Number every box and record contents in your master inventory list
  • Photograph cable connections on all electronics before disconnecting

Other pre-move tasks

  • Confirm moving date, time, and addresses with your packers and movers
  • Confirm that your mover has directions to both the old and new address
  • Confirm what documents you need to be present at the time of loading and delivery
  • Ask your current housing society for a No Objection Certificate (NOC) if required for shifting
  • Arrange a key handover for your old home — confirm with landlord or society
  • Inform building security at your old home of the moving date

Room-by-Room Packing Checklist

Use this section as a reference for each room. Work through one room at a time. Every item that leaves a room should be packed, labelled, and on the inventory list before you move to the next room.

KITCHEN

Packing note: The kitchen is the hardest room to pack. It contains the most fragile items (crockery, glassware), the heaviest items (appliances, pressure cookers), and the most miscellaneous small items. Pack it last among the main rooms. Set aside a Day 1 kit (one pot, 2 plates, mugs, basic utensils) until moving morning.

Appliances

  • Refrigerator: defrost 24 hours before; empty completely; remove shelves and pack separately; secure doors with tape
  • Washing machine: empty; run a drum-clean cycle; secure drum with transit bolts (check owner’s manual); pack inlet/outlet pipes
  • Microwave: remove rotating plate; wrap individually; pack in original box if available
  • Mixer grinder / food processor: detach jars; wrap each jar individually in bubble wrap; pack together in one box
  • Gas stove: clean thoroughly; detach burners; wrap each burner separately
  • Water purifier (RO): contact service provider for proper disconnection and transport guidelines
  • Other appliances: wrap each in bubble wrap; label original boxes if kept

Crockery, glassware, and cutlery

  • Wrap each plate individually in packing paper; pack plates vertically on edge (not flat) in box
  • Stuff the inside of each glass or cup with crumpled paper; wrap individually in packing paper then bubble wrap
  • Use cardboard cell dividers for glasses and stemware inside the box
  • Pack glass lids separately from their dishes — never together
  • Label all crockery and glassware boxes: FRAGILE — CROCKERY on all sides
  • Cutlery: bundle by type; wrap in cloth or packing paper; place in small labelled box or zip pouch

Pantry and consumables

  • Use up dry goods, flour, spices, and perishables in the weeks before the move
  • Tightly seal all open containers before packing; place in sealable bags to prevent spills
  • Pack jars and bottles upright with caps tightly secured; wrap in packing paper
  • Donate or discard: open oil bottles, large sacks of grain, anything that cannot be tightly sealed
  • Cleaning products: pack separately from food items; ensure caps are sealed; label the box

LIVING ROOM / DRAWING ROOM

Electronics and entertainment

  • TV: photograph cable connections before disconnecting. Pack in original box if available. Multi-layer wrap (blanket + 2–3 layers bubble wrap + thermocol corners) if not. Always upright.
  • Set-top box, DTH box: cables in labelled bag; device in bubble wrap
  • Home theatre / speakers: pack each speaker separately in bubble wrap; cables in labelled bag
  • Gaming consoles, streaming devices: original box preferred; bubble wrap + snug carton
  • Extension cords and cables: coil and secure with Velcro; place in labelled bag

Furniture

  • Sofa and upholstered chairs: cover with stretch film then moving blanket for intercity moves
  • Glass-top centre table: wrap glass top separately with cardboard sandwich + bubble wrap; transport upright
  • Bookshelves: remove all books and objects before moving; disassemble if possible
  • Decorative items, showpieces, photo frames: individual tissue paper + bubble wrap; pack in dedicated FRAGILE box
  • Curtains and blinds: remove, fold or roll; label with room and window size for easy reinstallation

BEDROOM(S)

Bed and furniture

  • Beds: disassemble if possible; keep all bolts and screws in a small labelled bag taped to the headboard
  • Wardrobe/almira: empty completely before movers arrive; disassemble if possible for intercity moves
  • Dressing table/mirror: mirror requires cardboard sandwich + bubble wrap + mirror box; transport upright

Clothes and textiles

  • Formal wear and suits: use wardrobe box to keep on hangers (1 wardrobe box per 2 feet of closet rod)
  • Everyday clothes: roll casual items (t-shirts, jeans) to save space; fold structured garments
  • Seasonal and off-season clothes: vacuum-seal compression bags for bulky woollens, winter coats, blankets
  • Bed linen, pillow covers, duvets: pack in large carton boxes; can also be used as padding for other items
  • Shoes: stuff with paper to retain shape; pack in small boxes or original shoe boxes

Personal and sensitive items

  • Jewellery and valuables: carry personally — do not place in moving truck
  • Medicines and prescriptions: separate from all other items; carry personally
  • Important documents: see Documents section below — carry personally in a separate bag

BATHROOM(S)

  • Toiletries: ensure all caps are tightly closed; place in sealed zip-lock bags inside a box to contain any leaks
  • Geyser (water heater): contact a qualified technician for disconnection and drainage; do not attempt to disconnect yourself
  • Medicines from bathroom cabinet: check expiry dates; discard expired items
  • Towels and bathmats: can be used as padding inside boxes for kitchen or bedroom fragile items
  • Showerhead, shower curtain, bath accessories: wrap individually; label box BATHROOM

HOME OFFICE / STUDY

  • Back up all data on computers and external hard drives before packing
  • Laptop: foam sheet between screen and keyboard; padded sleeve; carry personally if possible
  • Desktop (CPU): if comfortable with hardware, remove GPU and pack separately in anti-static bag with foam
  • Monitor: same packing sequence as TV — upright, multi-layer, cardboard sandwich on face
  • Printer: remove ink cartridges and pack separately to prevent leaking during transit
  • Files, folders, important papers: scan critical documents digitally; pack physical files in clearly labelled carton boxes
  • Books: small boxes only (max 20 kg per box); hardcovers upright (spine against wall); paperbacks flat or spine-first

POOJA ROOM / MANDIR

  • Pack all idols and religious items carefully — individual tissue paper then bubble wrap for each piece
  • Carry particularly significant or fragile religious items personally
  • Diyas, lamps, and brass items: wrap individually; pack together in one labelled FRAGILE box
  • Incense, flowers, and perishable puja items: do not pack; use fresh at new home

CHILDREN’S ROOM

  • Involve children in packing their room — helps them feel part of the move and reduces anxiety
  • Label boxes with child’s name in addition to room name
  • Pack one comfort box (favourite toy, book, night lamp) separately and load last — unload first
  • Study materials, books, stationery: label clearly by subject or grade for easy unpacking
  • Soft toys: use large clear bags; label with child’s name
  • Furniture (study table, bookshelf): disassemble if possible; keep all screws in labelled bag

GARAGE / STORAGE ROOM

  • Pack garage and storage first — these are typically the least-used items
  • Tools: wrap sharp tools individually; pack in strong small boxes
  • Flammable items (paint, thinner, kerosene): DO NOT pack in moving truck — these are non-transportable by professional movers
  • Old electronics and scrap: decide keep/sell/discard at this stage to avoid paying to move items you don’t need
  • Sports equipment: wrap fragile items; use original bags for gear where possible

Moving Day Checklist

  ON THE DAY OF THE MOVE

  • Confirm moving crew arrival time with the team leader by phone that morning
  • Have your copy of the written quote / booking confirmation ready
  • Have your photo ID ready for paperwork at loading
  • Show movers the First Night Box — confirm it is the last item loaded and first off the truck
  • Do a final walkthrough of every room before loading begins: confirm everything is packed and labelled
  • Check: inside wardrobes, under beds, inside drawers, behind doors, loft and storage spaces
  • Supervise loading: confirm fragile boxes are handled correctly; confirm wardrobe boxes stay upright
  • Count all boxes as they are loaded against your master inventory list
  • Take photographs of the loaded truck before departure (useful for any damage claim)
  • Confirm the delivery address and estimated arrival time with the moving team leader

Before leaving the old home — final checks

  • Walk through every single room one final time
  • Close all water taps and turn off the main water supply
  • Turn off all light switches and electrical fittings
  • Turn off the main electricity switch / MCB
  • Ensure all gas cylinder valves are closed
  • Close and lock all windows
  • Hand over keys to landlord or society as agreed
  • Collect any deposit receipts and signed handover documents from the landlord

The First Night Box (Pahli Raat Ka Dabba): What to Pack

Pack one clearly-labelled box or bag that contains everything you need for the first 24 hours at your new home — before any other box is opened. Load this last, unload first. Keep it in the passenger vehicle with you if possible.

After Shifting: Official Address Change Checklist

Update government IDs in this order: Aadhaar first. Once Aadhaar is updated, it becomes valid address proof for all other updates, making every subsequent process faster.

  GOVERNMENT ID ADDRESS UPDATES

  • Aadhaar Card (PRIORITY FIRST): Update online at myaadhaar.uidai.gov.in. Fee: ₹75. Processing time: 7–30 days. Required: new address proof (rental agreement or utility bill not older than 3 months)
  • Voter ID: File Form 8 for address change on voters.eci.gov.in (National Voters’ Service Portal). Specify ‘Shifting of Residence’ and whether within same constituency or to a new constituency. Verification visit may be required.
  • PAN Card: Update backend address records via NSDL portal (onlineservices.nsdl.com) or UTI portal (utiitsl.com). PAN itself does not display address but backend records affect ITR filing and bank KYC.
  • Driving Licence: Visit your state’s Regional Transport Office (RTO) with new address proof to update the address on your driving licence
  • Passport: Update address online via Passport Seva (passportindia.gov.in) if required

  FINANCIAL AND UTILITY UPDATES

  • Bank accounts: update address in-branch or via net banking within 10 days of moving. Prevents delayed debit cards, cheque books, and KYC complications.
  • Credit cards: update billing address with all card providers
  • LPG gas connection: complete transfer at new city distributor if not already done (carry Termination Voucher or e-CTA)
  • Electricity: ensure new connection is active at the new home
  • Broadband/internet: confirm new connection activation at new home
  • Mobile postpaid: update billing address with mobile operator
  • Vehicle RC: update address at new city’s RTO if relocating to a different city

    Update your Aadhaar card first. Once updated, it becomes valid address proof for your bank KYC, insurance updates, and all other government ID changes — making every subsequent update faster.
