How to Get an Accurate Moving Quote in India

accurate packers movers quote India

Two movers quote the same flat. One says โ‚น12,000, the other โ‚น21,000. Weeks later, the final bill matches neither. For customers comparing packers and movers Lucknow, the problem is often not the moverโ€™s arithmetic but incomplete information, unclear requirements, or estimates based on assumptions.

An accurate quote comes from accurate inputs: a clear list of what you are moving, honest details about access at both addresses, and a survey that confirms both. This guide walks through those steps in order, with checklists you can use as you go.

Step

What you do

Why it matters

1

Understand what drives the price

You know what a mover is pricing before you ask

2

Build an accurate inventory

Volume decides the truck, the crew and the packing materials

3

Disclose every access challenge

Floors, lifts, lanes and society rules add labour and fees

4

Communicate the same details to every mover

Quotes become comparable

5

Use an online form for a first estimate

An instant quote is only a ballpark

6

Get a pre-move survey

A final quotation rests on a physical or video survey

7

Compare quotes line by line

The cheapest headline number is often the one with the most left out

Step 1: Understand What Affects Your Moving Cost

Before you talk to any mover, know what they are pricing. Published price ranges are useful for budgeting, but they are wide. One national price guide lists intercity moves at roughly โ‚น10,800 to โ‚น41,000 for a 2 BHK and โ‚น15,000 to โ‚น87,000 for a 3 BHK. A range that wide cannot be a quote. Your inventory, your access conditions and your dates move you around inside it.

What this tells you

โ‚น8,700 โ€“ โ‚น15,600

Narrower, but still not a quote

2 BHK

Nearly a four-times spread between low and high

3 BHK

Distance, volume and services decide where you land

Volume and weight of your goods

The amount you move decides the truck, the crew, the packing materials and the hours. One quote guide gives examples: a 14-ft truck for a 1 BHK and a 32-ft container for larger relocations. The size of the household and the volume of items are core price factors. Two homes with the same BHK count can hold very different amounts, which is why home size alone is a weak basis for a price.

Distance and type of move

Local moves cost less than intercity moves because of shorter distances and lower transport costs. Distance is a significant factor in what a movers and packers charges. One price guide puts the per-kilometre rate for domestic shifting at โ‚น20 to โ‚น40, depending on volume and vehicle.

Packing materials and packing scope

Packing is where quotes differ most. A โ€˜packing includedโ€™ line can mean labour only, with materials billed later; one guide puts separately billed materials at โ‚น3,000 to โ‚น7,000 for a 2 BHK. The quantity and type of materials directly affect cost, and premium packing materials are usually excluded from headline prices.

Floor, lift and access conditions

Narrow roads, no lift, multi-storey buildings, long carry distances and trucks that cannot get close all call for extra workers. Upper floors without a lift, narrow lanes and restricted vehicle entry typically add a labour surcharge. Step 3 covers what to tell movers.

Vehicle, crew and extra services

Extra services change the total: dismantling and reassembly (confirm whether included or charged separately), storage, waiting and holiday fees, and transit insurance, which is optional but strongly recommended for long-distance moves. GST is charged on top of professional services, so a quote must say whether it is included.

Timing: season, weekday and month-end

Month-end, weekends and the peak months of March to June push charges up. One cost guide reports the same job costing 20 to 30 per cent less in off-peak windows, and another puts the weekend premium at 10 to 20 per cent. For the full picture, see our guides on weekend and month-end pricing and on peak versus off-season moving.

Step 2: Build an Accurate Inventory of Your Belongings

An inventory is the single most useful thing you can hand a mover. It lets them size the truck and crew, and it gives you a record to check against at loading and unloading. It takes an evening.

Declutter before you list anything

Sort room by room into keep, sell, donate and discard. A practical test: anything unused for a year is a candidate to go, and every extra carton adds cost. One guide reports that cutting a 3 BHKโ€™s volume by 25 to 30 per cent through decluttering lowers the quote in proportion. Declutter first, so you do not pay to move what you will not use.

Walk through every room and list by room and item type

Organise the list by room (kitchen, bedrooms, living room) and by type of item (furniture, electronics, dรฉcor). Include the places people forget: store room, balcony, loft, bathroom cabinets and the space under beds.

Record quantity, size and anything unusual

For big items, note the type and rough size (sofa, wardrobe, bed, dining table). Flag anything oversized, heavy or hard to handle: glass tops, mirrors, large appliances, a piano or gym equipment. Estimate cartons by room if you can. A mover who knows about these before quoting can price them in, and you avoid a surprise on the day.

Flag fragile, high-value and specialist items

Mark fragile and valuable items separately. Photograph them before packing and note the condition of expensive furniture and appliances. Photograph the back panel of every appliance and TV before it is packed, so reconnection is simple. Also say which items you want insured; at minimum, insure the valuable ones.

Photograph or video the inventory

A written or photographed inventory serves two purposes: it supports the quote and it supports any damage claim. Walk through each room with your phone and speak the contents aloud as you film. Keep the photos and list somewhere safe, and in a second place.

Share one list with every mover, and keep it updated

Give every mover the same list so the quotes are comparable. Verify the inventory list before the truck is sealed and keep a copy. Tick items off as they are loaded and again as they are unloaded. If your list changes after a quote, tell the mover and get the revised price in writing.

Step 3: Disclose Every Access Challenge at Both Addresses

Access is the part of a quote that is hardest to see from a phone call, and the part that most often changes the bill on the day. Tell every mover about both the pick-up and the delivery address.

Floor level and lift availability

Staircase or floor charges are billed per floor when lifts are not available, or are not large enough for furniture. City price guides list staircase charges from about โ‚น200โ€“500 a floor in Mumbai to โ‚น800โ€“2,000 in Bangalore and Hyderabad. One guide notes that up to the third floor is often free, with โ‚น50โ€“150 per carton per floor from the fourth. Say which floor you are on and whether the lift works and can take furniture.

Lane width and truck access

Narrow lanes and restricted vehicle entry typically add a labour surcharge. Large trucks cannot enter narrow roads or gated basements, and the usual fix is a smaller utility vehicle. In old-city Lucknow lanes, a Tata Ace or Bolero Camper with multiple trips can add โ‚น1,500 to โ‚น3,000 to a quote. Tell the mover if a full-size truck cannot reach your door.

Carry distance from the truck to your door

If the truck cannot park close, expect a long-carry fee, and possibly extra workers. Give an honest estimate of the distance from the nearest legal parking spot to your entrance.

Society rules, gate passes and move-in fees

Many housing societies set their own rules. In Bangalore, guidance is to get written permission and book the service lift a week ahead, and to tell the society office at least 48 hours before so any move-in fees are settled. In Lucknow, societies in Gomti Nagar Extension and the Shaheed Path corridor typically require lift booking 24 to 48 hours ahead and a refundable deposit of โ‚น5,000โ€“15,000, and some charge a move-in fee of โ‚น500โ€“1,500. Some movers also charge a fee for handling society paperwork. Ask your society for its rules, and share them.

Furniture that will not fit through doors or lifts

Narrow lifts often cannot take large sofas or king-size mattresses. If furniture must be dismantled, ask whether dismantling and reassembly are included or charged separately. Measure the biggest pieces against doors, corners and the lift.

Waiting time and restricted moving hours

Waiting fees are a recognised charge, and overtime or waiting is often billed at โ‚น100โ€“200 an hour. Some societies restrict shifting hours. Confirm permitted hours and lift slots at both ends so the crew is not left waiting.

Step 4: Communicate Clearly With Movers to Get Accurate Pricing

How you speak to movers affects the number you get back. Vague questions invite vague quotes. Low verbal estimates are a known trap: some operators give a low figure and then add heavy charges for parking or stairs.

Give every mover the same information

Share the same inventory, the same access details and the same dates with each mover. If one quote is based on a ten-carton list and another on forty, the numbers cannot be compared.

Ask exactly what is included and excluded

Quotes usually leave out GST, floor or staircase charges, premium packing materials and insurance. A good quotation states its exclusions clearly, which prevents disputes later. Ask the mover to list them.

Ask about packing, materials and crew

Ask whether โ€˜packing includedโ€™ covers the materials as well as the labour, and which materials will be used. Ask how many people will come, and what happens if the job runs longer than planned, since overtime is billed hourly.

Ask about GST, insurance and documents

Ask whether the quote is GST-inclusive or exclusive. Full-service moves are generally taxed at 18% and transport-only services at 5%. For insurance, ask for the coverage type and confirm that all your household items are covered in transit.

Ask about timing, delivery window and payment terms

Ask for the date and time window of loading, and for intercity moves a written delivery window. Ask what is payable at booking, at loading and at delivery. A staged structure protects you; paying most of the amount up front removes your leverage.

Get everything in writing

An estimate is approximate and may change; a quotation is a fixed-price offer for a defined scope. There is no legally prescribed validity period for a business quotation in India, so ask the mover to state the validity and the scope on the document.

Questions to ask every mover

Question

Why it matters

Will you do a physical or video survey before quoting?

Phone figures are ballpark; surveys make the quote firm

What does the price include and exclude?

GST, floor charges, premium materials and insurance are often left out

Are packing materials included, and which ones?

โ€˜Packing includedโ€™ can mean labour only

Is GST included, and is it CGST+SGST or IGST?

The invoice format depends on whether the move crosses a state

What insurance is offered and what does it cover?

Confirm all household items are covered

What happens if the job runs over or access is worse than expected?

Overtime and waiting are billed hourly

How much is due at booking, loading and delivery?

Protects you from a large up-front payment

Can I have the quote, scope and validity in writing?

A written quotation is the document you can hold the mover to

Step 5: Request a Quote Online Using a Form

An online form is a quick way to start. It is a first estimate, not the final price.

What an online quote can and cannot tell you

An instant online quote is a rough estimate based on limited details. It is a ballpark figure, whereas a final quotation, based on a physical or virtual survey and verified against your inventory and site logistics, is highly accurate. Use the online number to shortlist and budget, not to commit.

What to enter in the form

  • Pick-up and delivery addresses, with pin codes
  • Home size and a short note on how full it is
  • Floor and lift details at both ends
  • Preferred date, and how flexible it is
  • Services needed: packing, dismantling, vehicle transport, storage, insurance
  • Anything unusual: oversized furniture, fragile items, a narrow lane or society rules

What to do after you submit

Expect a call or message. Be ready with your inventory and access details, and ask for a survey. Do not treat the form figure as a fixed price, and do not pay an advance on an unsurveyed estimate. If you submit the same form to several movers, compare only numbers produced on the same basis.

Step 6: Get a Firm Rate Through a Pre-Move Survey

The pre-move survey is the step that turns an estimate into a number you can hold a mover to. Insisting on one is the most consistent piece of advice across the sources we reviewed.

What a pre-move survey is and why it gives a firm number

A survey is a physical or video assessment of what you are moving and where you are moving it from and to. A final quotation based on a physical or virtual survey is described as highly accurate, because it is verified against the inventory and site logistics. Get quotes from at least three movers, and insist on a survey rather than a phone estimate.

In-person survey or video survey

Both work. A video survey is an on-site survey done online by video call. If you choose video, the quality of the result depends on what you show. Walk slowly, open cupboards and wardrobes, show the store room, balcony and loft, and show the lane, parking spot, lift and stairs. Anything not shown is not priced.

What the surveyor checks

A surveyor works out the volume of goods in packed form, which decides the type of truck or container. They also assess the quantity and type of packing materials, which directly affect cost, and truck access and parking, including whether a shuttle vehicle is needed when a truck cannot reach the door. Existing damage is documented to avoid unjustified claims later. A survey can also identify items to pack that you had not thought of, which helps avoid unexpected expenses.

How to prepare for the survey

  • Finish decluttering first, so the survey reflects what will actually move
  • Have your inventory and access details ready
  • Know your societyโ€™s rules and moving hours
  • Point out fragile, valuable and oversized items
  • Be present at both addresses if possible, or arrange access

What to get after the survey

Ask for a written quote that names the scope, the inclusions and exclusions, GST treatment, insurance, payment terms and validity. If you add items after the survey, tell the mover, because additional items affect the cost; get the updated price in writing.

Step 7: Evaluate and Compare Your Quotes

With surveyed, written quotes in hand, the comparison itself is straightforward. The aim is to compare the same scope, not the same headline number.

Compare like with like

Movers quote different prices for the same goods because of the overall quality of service, including packing. Quotes for the same move can differ by more than 30 per cent, and one source puts the gap between cheapest and costliest at 40 to 60 per cent. These figures come from movers and property sites, not independent surveys, so treat them as indicative. Get at least three quotes and compare the all-in total.

Check the quote against a good-quote standard

A good quotation lists each item separately, shows GST amounts apart from the pre-tax total, and clearly states what is excluded. If a quote says only โ€˜packing includedโ€™ or โ€˜as per site conditionsโ€™, ask for detail.

Verify GST type and GSTIN

Intrastate supplies carry CGST plus SGST; interstate supplies carry IGST. The GSTIN and the GST type should appear on the document. An incorrect GSTIN or missing GST details can stop a business customer from claiming input tax credit later. You can verify a GSTIN at gst.gov.in.

Compare insurance, payment terms and delivery window

Compare insurance coverage and confirm that all household items are covered in transit. Compare what is due at booking, at loading and at delivery. For intercity moves, compare the written delivery window.

Spot the red flags

  • A figure given only verbally, with no survey: low verbal estimates are followed by heavy charges for parking or stairs
  • A โ€˜packing includedโ€™ line with no materials listed
  • No GSTIN or no GST detail on the quote
  • A large advance requested before loading
  • A price far below the others with no explanation. Families regularly pay 30 to 50 per cent more than first quoted when hidden charges appear

    Frequently Asked Questions

Build a room-by-room inventory, note access details at both addresses, share the same information with at least three movers, and insist on a physical or video pre-move survey. Then compare written, itemised quotes on the all-in total.

Only as a ballpark. An instant online quote is a rough estimate from limited details; a final quotation based on a physical or virtual survey is the accurate one. Use the online figure to shortlist movers, then get a survey.

A pre-move survey is an assessment, in person or by video, of the goods, the access and any special handling needed, from which the mover prices the job. At Alliaance Packers And Movers the survey is free. Ask any other mover whether they charge for it.

It can, if the quote excluded items or if the scope changed. Quotes often leave out GST, floor charges, premium packing materials and insurance, and an estimate is approximate whereas a quotation is a fixed-price offer for a defined scope. One guide reports families paying 30 to 50 per cent more than first quoted when hidden charges appear. A written, itemised quote after a survey, with exclusions listed, is your protection.

The inventory, the pick-up and delivery addresses, floor and lift details at both ends, lane width and parking distance, society rules and moving hours, special or oversized items, preferred dates, and the services you want, such as packing, dismantling, storage and insurance.

At least three, each after a survey rather than a phone estimate. Compare the all-in totals and what each quote includes. Choose on credibility and scope, not on the lowest number alone.

The quote should state the GST type, the rate and the GST amount separately from the pre-tax total. Full-service moves are generally taxed at 18% and transport-only services at 5%. Ask whether the figure is GST-inclusive, and verify the moverโ€™s GSTIN at gst.gov.in.

Movers price the overall quality of service, including packing, and quotes may differ in what they include. One quote may name materials, floor charges and insurance; another may leave them out. Comparing the same scope removes most of the gap.
